Functions & Events Account Manager

As well as running elite horse racing at Caulfield, Ladbrokes Park (Sandown) and Mornington Racecourses, we own 14 pub venues under the Pegasus Leisure Group (PLG), an emerging collection of owned events such as The Peninsula Picnic and the MRC Foundation, our charitable arm.We are looking for an enthusiastic permanent Function & Event Account Manager to look after the functions and events outside of our race days. Based in the Sales & Partnership team, this role will play a key part in the process of functions and event bookings at Caulfield and Ladbroke Park (Sandown) Racecourse, including converting enquiries to sales and facilitating the coordination of events. As Caulfield Racecourse undergoes the most significant upgrade in its history, the final product will see state-of-the-art facilities including a 600 pax banquet room and an 18,000 sqm event deck. The Masterplan will develop Caulfield as a world-class entertainment facility accessible to all, with endless event opportunities including festivals, markets, concerts, and conventions.The successful candidate will be based at Caulfield Racecourse but may need to travel to Ladbrokes Park (Sandown). They may also be required to work out of hours or weekends as per the events.Duties and responsibilitiesAnswer all incoming enquiries promptly, produce event proposals and convert them to sales, as required conduct site visits with potential clientsCreate contracts for Caulfield Functions and EventsCoordinate Caulfield racecourse functions and events, ensuring floor plans, dietary requirements, event order/run sheets and all other event information is accurate and documented in the ERP system.Conduct weekly Event Order meeting with internal and external stakeholdersWork with internal stakeholders and external suppliers to ensure all event information is accurate and communicated clearly.Ensure all supplier Purchase Orders are entered accurately and in a timeline manner to ensure compliance.Provide ongoing support, leadership and development to the Sales Event Coordinator.Aid in retaining Functions & Events business to ensure sales targets are exceeded, including renewing contractsSkills and ExperienceMinimum 2 years experience in an events or sales role within a face pasted, high volume environmentProficiency in Microsoft SuitePrevious experience using events booking systems, experience with Ungerboeck highly regardedStrong attention to detail and time managementAbility to work flexible hours, including nights and weekends (if necessary).What’s in it for you?Ongoing learning & development opportunities through the organisation-wide DRIVE Development program. Access to our year-round well-being initiatives including our Employee Assistance Program for staff and family. Racing Industry Member passes, discounts across our family of brands and free tickets to a wide range of events. Free onsite parking or a short walk from Caulfield Station. Paid Volunteer and Parental Leave. Monthly staff lunches  Melbourne Racing Club values differences in gender, age, ethnicity, race, cultural background, disability, religion and sexual orientation and encourages all suitable applicants to apply for this role.  AUD Caulfield 3162
