Executive Assistant – Racing and Commercial

Reporting into the Executive Director - Commercial, Executive Director - Racing & Media and the Chief Customer Officer, this dynamic role seeks an energetic and driven individual to ensure smooth operations of the Commercial, Customer, Racing and Operations departments.This is a truly unique opportunity that offers the right candidate a chance to make a lasting impact within a growing business and a professional team. Day in the life of an Executive Assistant at Melbourne Racing ClubProvide executive administration & personal assistance support to the Executives including but not limited to; managing and coordinating all meetings and travel requirements, meeting preparation and presentations, diary and email management, meeting minutes, monthly reconciliation of credit card accounts and reimbursement managementDevelop, implement and coordinate elements of key events (e.g. race days, owned events and corporate functions), in consultation and conjunction with other relevant internal and external stakeholders to successfully deliver each eventCurate and manage guest lists and invitation process for key events e.g. carnival marquees, carnival launch, VIPs at owned eventsWork closely with internal and external stakeholders to ensure arrangements are met and services are executedCoordination of all Executive correspondence and preparation of Manager Monthly ReportsResearch, develop and determine appropriate strategic value/method for event elements which provide direct benefits to the ExecutiveImplementing systems and processes to enable business to run smoothly ensuring staff, contractors and other stakeholders adhere to these processesSome weekend work required supporting relevant departments on site during Spring Carnival and key race daysSkills and Experience to excite us?Demonstrated experience as a Personal or Executive Assistant providing high level executive support in a similar fast-paced roleExceptional Microsoft Office skills including Outlook, MS Word, PowerPoint and ExcelStrong communication and interpersonal skillsHigh level of accuracy and attention to detailStrong analytical and problem-solving skillsConfidence in dealing with people at all levels and maintaining strong working relationshipsPrevious experience in developing, managing and executing events advantageousPrevious experience in a commercial environment advantageous Melbourne Racing Club values differences in gender, age, ethnicity, race, cultural background, disability, religion and sexual orientations and encourages all suitable applicants to apply for this role.  AUD Caulfield East 3145
